Bonus programme terms
How points are earned and spent, how the levels work, how long points last, and what happens when an order is returned.
Questions about your points? [email protected]
1. Organiser
The programme is run by Vitateka OÜ, VAT registration number EE101830894, address: Mõisa tee 5, Kostivere, 74204, Estonia. For questions about the programme: [email protected], telephone +372 6683223, on working days 9.00–17.30.
2. Who can take part
- Any natural person aged 18 or over may take part. Points are earned on every paid order, including an order placed without signing in: if the buyer has no customer account, one is created automatically after payment and the points are credited to it. The account is where a member sees their balance and redeems it.
- Taking part is free and voluntary. No separate application is needed: the account is the membership.
- One person, one account. Points belong to the account. They cannot be transferred to another person, merged with another account's balance, or exchanged for money.
- The programme is for retail customers. Accounts on wholesale terms do not take part.
3. How points are earned
- On purchases. The base rate is 5 points for every euro of the value of the goods in an order, including value added tax. 100 points equal 1 euro. Shipping is not counted.
- The rate depends on the member's level (section 6). On Base it is 5%, on Silver 6.5%, on Gold 8% and on Platinum 10% of the value of the goods.
- Points are credited after the invoice is issued for a paid order, not when the order is placed. Until then they are shown in the account as expected.
- Points are also earned on orders placed with a promotional code or as part of a campaign — but on the value of the goods after the discount has been applied. No points are earned on shipping.
- The part of an order paid for with points does not affect how many points are earned: points are calculated on the full value of the goods after discounts.
- An order placed without signing in earns points too. If a customer account exists for the email address given on the order, the points for that order are credited to it at the ordinary rate. This happens after payment and invoicing, so the points do not appear in the account immediately.
- An increased rate on the next order. The organiser may offer a member an increased earning rate on one following order — double, for example. The offer runs for a limited period stated in the message announcing it, and is used up by the first paid order. If no order is placed within that period the offer ends with nothing credited. An increased rate compounds with the member's level: on Gold, a double offer gives 16% instead of 8%.
- Points may also be earned for other actions — for instance where a member has not ordered for a long time. The current list and the size of each reward are published on the bonus programme page and in the customer account. The organiser may change that list; points already credited are not affected.
- For a product review. Points for a review are earned only by a signed-in customer: unlike cashback on purchases, a review requires an account. They are earned only for a product the customer has actually bought, only after the review has been approved by the shop, and once for each product. The organiser may decline points for a review that breaks the rules for reviews published in the online shop.
4. How points are used
- Points can pay for part of an order in the Vitateka online shop. 100 points equal 1 euro of discount.
- Points can be redeemed from 100 points upwards.
- Points are applied in the basket or at checkout. The customer chooses how many to redeem.
- Points can pay for no more than 50% of the order total. The remainder is paid in the ordinary way. Points may be applied to any part of the order total, including value added tax and the delivery charge. That no points are earned on delivery (section 3) does not prevent points from being used to pay for it.
- Redeeming points reduces the amount payable. Value added tax is calculated on the full value of the goods: redeeming points does not reduce the taxable value of the order. Points are not a separate means of payment — they are a discount granted by the organiser.
- Points cannot be exchanged for money, transferred to another person, or refunded as a cash payment.
5. How long points last
- Points are valid for 183 days from the date they are credited. Each credit has its own expiry date.
- Points that expire soonest are redeemed first.
- Seven days before points expire the organiser sends a notice to the email address held in the account. The notice is sent to the address valid at the time of sending; the organiser is not responsible for non-delivery for reasons on the recipient's side.
- Expired points are not restored, except where they expired through an error by the organiser.
6. Membership levels
- A level is determined by purchasing activity over the last 365 days, counted from the day of calculation. There are four levels:
| Level | Condition | Earning |
|---|---|---|
| Base | registration | 5% |
| Silver | 2 orders | 6.5% |
| Gold | 4 orders or €150 of purchases | 8% |
| Platinum | 8 orders or €300 of purchases | 10% |
- The conditions within a level are joined by "or": meeting either one is enough. The highest level whose conditions are met is the one that applies.
- What counts as an order. A paid order for which the shop received money. Cancelled, unpaid and fully refunded orders do not count. A partly refunded order counts once. An order placed without signing in counts, provided a customer account exists for its email address.
- What counts as the value of purchases. The value of the goods invoiced, less the value returned. Excluding value added tax and shipping.
- Levels are recalculated daily. A promotion takes effect immediately.
- If activity falls, the level is kept for a further 60 days. The organiser gives notice of an approaching reduction by email once, at the start of that period. If the member meets the level's conditions again within the 60 days, the reduction is cancelled and no second notice is sent. The 60 days are not extended.
- A level does not affect product prices, is not connected to wholesale terms, and does not change delivery terms unless the bonus programme page says otherwise.
- Changing the set of levels or their conditions does not affect points already credited. If a level is discontinued, the member is moved to the level matching their activity without a reduction notice.
7. Returns and cancelled orders
- If goods are returned or an order is cancelled, the points earned on it are cancelled in full or in proportion to the amount returned.
- Points used to pay for a returned order are credited back to the member's account. Their expiry date is not extended.
- Where points due to be cancelled have already been spent, a member's balance never goes negative. The shortfall is recorded as a debt and recovered from future credits earned on purchases. Points received as a gift — for a long absence, a birthday and the like — are not used to settle it.
- A cash refund is made in the amount actually paid. The part of an order paid for with points is not refunded in money — the points are returned.
8. Misuse
The organiser may cancel points, suspend or end a membership where points were obtained in circumvention of these terms: by one person creating several accounts, by inviting oneself, by placing orders in order to earn points and then returning them, or by exploiting technical weaknesses. The member is notified of any such decision by email and may contest it.
9. Changes to the programme, and ending it
- The organiser may change these terms. Changes that worsen a member's position are announced at least 30 days in advance by email and on the website.
- The organiser may end the programme with at least 60 days notice. During that period accumulated points can be used on the ordinary terms.
- Changes that improve a member's position — a higher reward, a longer validity period, new ways to earn — are introduced without prior notice.
10. Personal data
- To run the programme the organiser processes name, email address, order history and records of points credited and redeemed. The legal basis is performance of a contract (Art. 6(1)(b) GDPR).
- Data is kept while the account exists, and thereafter for the periods required by accounting and tax law.
- A member may obtain a copy of their data, correct it, request its deletion and withdraw consent to marketing messages. Requests go to [email protected]. Deleting an account cancels any unused points.
- An invitation to a friend is sent by the member themselves, using a link. The organiser does not collect the contacts of invitees and does not message them on its own initiative.
- General information about data processing is in the online shop's privacy policy.
11. Leaving the programme
A member may leave the programme at any time by writing to [email protected]. Unused points are cancelled and are not compensated.
12. Applicable law
These terms are governed by the law of the Republic of Estonia. Disputes are settled by negotiation. If no agreement is reached, a consumer may apply to the Consumer Disputes Committee at the Estonian Consumer Protection and Technical Regulatory Authority (komisjon.ee) or, in a cross-border dispute, to the European Consumer Centre in their country (ECC-Net, consumer-redress.ec.europa.eu). These terms do not limit the rights a consumer has under law.
